Automating Complex Billing at Scale
A global vehicle rental company needed to automate its invoicing platform to support cross-border rentals, evolving country rules, and high transaction volumes while preserving familiar front-line workflows. See how TDK Technologies delivered a technogy solution that is a model for future initiatives.
The Problem
A global vehicle rental and mobility services company needed to comply with new European Union (EU) requirements under VAT (Value-Added Tax) in the Digital Age (ViDA), beginning with France’s mandatory e-invoicing and e-reporting rules.
These changes affect business-to-business and business-to-government transactions, requiring standardized invoice data to be transmitted to tax authorities and business partners while preserving existing rental and billing workflows.
The organization needed a way to apply the correct VAT across complex rental scenarios, such as cross-border trips and accounts tied to French businesses or the French government. The new system also needed to feed compliant invoice data through a third-party e-invoicing provider, without rewriting core systems or adding manual back-office work.
The Solution
The TDK team implemented an automated, backend invoicing and reporting pipeline, using France as the first ViDA-aligned deployment and a template for other EU markets.
A nightly batch process queries multiple databases to identify invoices that meet French VAT criteria, including rentals, add-ons, and related fees. Then the process assembles the data into XML, which is sent via REST APIs to downstream services and the cloud.
The solution was designed to avoid touching open or incomplete invoices, protect financial integrity, and minimize operational disruption at the counter. Clear architectural guidance, detailed VAT rules, and well-defined data requirements allowed the team to execute without extensive rework and to design a framework that can be adapted for Germany, Spain, and additional countries.
The Result
The France solution is operating as intended, processing invoices automatically overnight and supplying compliant VAT and invoice data to tax authorities through the e-invoicing provider.
The implementation met expectations for reliability and minimal disruption. With France serving as a reference implementation, the organization now has a repeatable pattern it can use to support ViDA-driven changes across other EU markets, reducing risk and accelerating future rollouts.
